Paloma & Fig is a Catholic creative communications, marketing, and public relations agency rooted in beauty, truth, and goodness. We serve Catholic organizations, schools, nonprofits, ministries, authors, publishers, and mission-driven brands through strategic storytelling, public relations, social media, design, branding, podcast support, and communications strategy.
Our work is highly relational, detail-oriented, and mission-first. We are looking for a Project Manager who can help bring clarity, organization, and momentum to multiple client projects while supporting a creative team with excellence, warmth, and professionalism.
The Project Manager will oversee the flow of client work from initial planning through final delivery. This person will help manage timelines, organize deliverables, communicate with team members, track project progress, and ensure client needs are met with care and consistency.
The ideal candidate is organized, proactive, calm under pressure, and able to hold both the big picture and small details. This role requires someone who can coordinate creative projects, anticipate next steps, and help keep internal and client-facing work moving smoothly.
Experience working with publishers, authors, book launches, editorial timelines, media outreach, or publishing-related marketing campaigns is strongly preferred.
Manage project timelines, deliverables, and internal deadlines across multiple clients and initiatives
Coordinate communication between team members, contractors, clients, authors, publishers, and leadership
Track project progress using tools such as Monday.com, Trello, Slack, Google Drive, or similar platforms
Help organize client requests, meeting notes, approvals, and task assignments
Prepare agendas, recaps, and follow-up items for internal and client meetings
Ensure deliverables are moving through the proper workflow, including copy, design, approvals, revisions, and final delivery
Support social media, PR, podcast, branding, website, book launch, author campaign, and communications projects as needed
Assist with publisher-related timelines, including launch schedules, media kits, author interviews, publicity materials, campaign calendars, and promotional deliverables
Monitor deadlines and proactively flag delays, missing information, or potential bottlenecks
Maintain organized files, project boards, client folders, publishing assets, and communication records
Assist in creating systems that improve efficiency, clarity, and team collaboration
Communicate with grace, professionalism, and attention to detail
Prior experience in project management, client coordination, communications, marketing, publishing, nonprofit work, or a related field
Excellent organizational and time-management skills
Strong written and verbal communication skills
Ability to manage multiple projects at once without losing sight of details
Comfortable working with creative teams, clients, authors, and publishers
Familiarity with project management tools such as Monday.com, Trello, Asana, Slack, or similar platforms
Ability to work independently while staying highly collaborative
Strong attention to deadlines, tone, and follow-through
Professional, warm, and mission-minded approach to communication
Experience working with publishers, publishing houses, authors, book launches, or editorial/publicity timelines
Experience in marketing, public relations, social media, design, publishing, or Catholic/nonprofit communications
Familiarity with Catholic organizations, schools, ministries, apostolates, or Catholic publishing
Experience coordinating creative deliverables such as graphics, copy, campaigns, podcasts, newsletters, media outreach, book launch materials, or press kits
Comfortable working in a small, growing business environment
Ability to bring order, structure, and calm to fast-moving creative work

This role may begin as a part-time or contract position, with hours and compensation based on experience, availability, and scope of work. There is potential for growth as the agency continues to expand.
